This Privacy Policy describes how Martin Control & Equipment Co., Inc. (“Martin Control,” “we,” “us”) handles information in connection with MCE Toolbox, an internal software application used solely by authorized Martin Control & Equipment employees. MCE Toolbox is not offered to, or accessible by, the general public.
Who this applies to
MCE Toolbox is restricted to employees of Martin Control & Equipment Co., Inc. with a valid martincontrol.com account. Access requires signing in with company-provided Google Workspace credentials. No outside party can access the application.
Information we access
To help employees answer internal questions about customers, quotes, orders, and correspondence, MCE Toolbox accesses the following on a read-only basis:
- QuickBooks Online: customer records, estimates, and invoices belonging to Martin Control & Equipment. The application reads this data only; it does not create, modify, or delete any QuickBooks records. Payroll, employee compensation, and retirement-plan data are never accessed.
- Google Workspace (Gmail): the application may read email messages associated with the signed-in employee’s company mailbox to summarize recent customer correspondence. It reads messages only; it does not send, alter, or delete email.
How information is used
Information accessed by MCE Toolbox is used only to generate on-screen answers for the authorized employee making a request. Information is processed at the time of the request and is not sold, shared with third parties for their own use, or used for advertising.
Data storage and security
MCE Toolbox is hosted on Cloudflare Pages. The application stores only the authentication tokens required to maintain its connections to QuickBooks and Google, kept in encrypted storage and used solely to service employee requests. Business data read from QuickBooks or Gmail is used to answer a request and is not retained by the application as a separate copy.
Third-party services
MCE Toolbox relies on the following service providers, each governed by its own privacy terms: Intuit (QuickBooks Online), Google (Workspace and Gmail), Anthropic (AI processing of the text used to generate answers), and Cloudflare (hosting). Requests processed by these providers are subject to their respective privacy policies.
Data retention and revocation
Connections to QuickBooks and Google can be revoked at any time by an administrator through the respective provider’s account settings, which immediately ends the application’s access. Stored authentication tokens are removed when a connection is revoked.
